Staff Capacity Building – Reporting and Documenting the Right Way

Staff Capacity Building

In this information age, timely information is of utmost importance. Recounting events, activities, issues, programmes, etc in the most presentable and easily comprehensible way is very crucial to the sustainability of any organisation. In view of this, Kids & Teens Resource Centre organised a 2-day in-house training on “Reporting & Documentation Policy”.

The aim of the training was to develop a reporting policy and a documentation policy for the organization. The objectives were:
To enhance documentation and reporting skills of the participants
To develop outlines for various types of reports to be used in subsequent report writing.

To develop a good and standard template for report writing
The training addressed the importance of report writing and documentation, and empathised on the need for a reporting policy and a documentation policy which will be strictly adhered to by all reporting officers of the organisation like any other organisational policy. The training focused on how to write various types of reports, how to develop a reporting policy and developing a documentation policy.

The training took place at the Ekiti State office of the organisation in Ado-Ekiti. The training was facilitated by Mr. Mayowa Joel, a program specialist from Communication for Development Centre, Abuja. The training focused on reports, the importance of report writing, the types of reports and outlines for the various types of reports, documentation, benefits of documentation, mode and means of documenting, report policy and documentation policy. The facilitator took his time to explain each of the terms with concise definitions and also showed different examples of standard reports on slides as illustrations to his explanation.

The training which was very interactive and educative was largely successful as the expectations of the participants were met after the training. The objectives of the training were also fulfilled as the participants on the second day of the training were about to draft out policies for reporting and documentation for their respective organisations. Outlines for different types of reports were also produced to serve as templates for future reference and guide for reporting officers.
